For example, let's say an inspection form asks users to select *Pass* or *Fail* for each inspected item. An action could be created to automatically send an alert and/or a report to key stakeholders whenever *Fail* is entered. These conditional workflow actions can help you streamline processes for a variety of use cases: - **Safety inspections:** A Global Workflow action can be triggered based on a *Safety Checklist* field, automatically notifying the site supervisor if any critical safety issues are identified during the inspection. - **Quality control:** Global Workflow actions can be triggered based on fields such as *Quality Test Results* or *Defect Codes*. If a product fails a quality test or exhibits specific defects, the workflow action can automatically notify the quality control team, initiate investigations, and generate corrective action requests. - **Product data analysis:** Global Workflow actions can be triggered based on fields such as *Production Rates*. If production rates deviate from expected values, the workflow action can automatically alert production engineers, trigger diagnostics, and prompt corrective actions. ## How to create workflow actions based on field data 1. Log into the **Portal** and go to **Workflow** > **Global Workflow**. 2. Select **+ New Workflow**. 3. **Name** your workflow.![Screenshot](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/17159914008461?sv=2026-02-06&spr=https&st=2026-10-30T08%3A56%3A12Z&se=2026-10-30T09%3A56%3A12Z&sr=c&sp=r&sig=mbH9rm3x6q6viHs9D7RA6xaQk%2FV3a8wXLU9INhqrJlA%3D) 4. Choose a **specific form** you want to assign this workflow action to or select *Any* to apply it to **all forms** in your account. 5. Specify what actions/integrations should occur based on certain values. 6. In the **Edit Conditions** menu select **Field** and enter the field key that you'd like to apply this workflow action to. Then configure the **value** that will trigger the action. 7. This step determines which field will trigger the Global Workflow action(s) based on user input. ![Screenshot](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/17159914013837?sv=2026-02-06&spr=https&st=2026-10-30T08%3A56%3A12Z&se=2026-10-30T09%3A56%3A12Z&sr=c&sp=r&sig=mbH9rm3x6q6viHs9D7RA6xaQk%2FV3a8wXLU9INhqrJlA%3D)  After setting up your workflow action(s), we recommend **testing** your form to ensure the actions are working as expected.
