For example, let's say you have an inspection form that includes a list of sites to inspect. If you have multiple inspectors who will be using that same form, you can limit the sites that are shown in the list for each inspector. This way, each inspector will only see sites on the list that are relevant to their job. ## How to filter a list based on the user To do this, you will need to add a **Current User Variable** to a list option in your form. Here's how: ### With the List field: 1. Add a **List** field to your form in the Legacy Form Builder. 2. Select **Add List Items** from the right settings menu and create your list. 3. Select **Advanced.** 4. In the **Filter Key** box, enter the email of the user(s) who you want to be able to view each item on the list (e.g., [**josh@example.com**](mailto:josh@example.com)). 5. Select **Field Filter Key** from the List settings menu. 6. Enter **CURRENT_USER_VAR** as the field key and select **OK**. ![Filter Key box with a user's email entered to filter a list item](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/14821849846669?sv=2026-02-06&spr=https&st=2026-10-31T09%3A28%3A23Z&se=2026-10-31T10%3A28%3A23Z&sr=c&sp=r&sig=Fkjl87ZOFvF7ODpZbgi0mmyFVCGkwNCud1S2nPdZyko%3D) ![Field Filter Key box with CURRENT_USER_VAR entered as the field key](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/14821849859469?sv=2026-02-06&spr=https&st=2026-10-31T09%3A28%3A23Z&se=2026-10-31T10%3A28%3A23Z&sr=c&sp=r&sig=Fkjl87ZOFvF7ODpZbgi0mmyFVCGkwNCud1S2nPdZyko%3D) ## Example Let's say we have three different inspectors, Josh, Andrew, and Adam, who will be filling out a form. Depending on which inspector is logged in to use the form, they will be limited to which items they can see on the list. ![Example list configuration showing employees filtered by location for inspectors Josh, Andrew, and Adam](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/image(151).png?sv=2026-02-06&spr=https&st=2026-10-31T09%3A28%3A23Z&se=2026-10-31T10%3A28%3A23Z&sr=c&sp=r&sig=Fkjl87ZOFvF7ODpZbgi0mmyFVCGkwNCud1S2nPdZyko%3D) Once we publish our form, only the user that opens the form on their device will be available for selection on this list. So now, when Josh is logged in to complete the form, he can only see the *Sheds* option. ![List filtered to show only the Sheds option for Josh](https://cdn.document360.io/dd260e4e-10bb-4b66-8fb3-5504c272b904/Images/Documentation/image(109).png?sv=2026-02-06&spr=https&st=2026-10-31T09%3A28%3A23Z&se=2026-10-31T10%3A28%3A23Z&sr=c&sp=r&sig=Fkjl87ZOFvF7ODpZbgi0mmyFVCGkwNCud1S2nPdZyko%3D)
