# 3. JuicedSign tables and fields

## Where JuicedSign keeps its information

When you set up JuicedSign, the installation wizard adds fields to the table you send from, and adds these tables to your app:

| Table | What it holds | Who fills it in |
| --- | --- | --- |
| **Your table** (for example Quotes or Contracts) | The buttons and fields that define each agreement: document, recipients, subject, message, reminders, and where to save the signed copy. | The wizard sets them up. You can adjust some of them, see below. |
| **JuicedSign Management** | One record per agreement, with its status and dates. | JuicedSign |
| **JuicedSign Recipients** | One record per recipient of an agreement, with their status and dates. | JuicedSign |
| **Document Templates** | Your document templates. The wizard adds this table only if your app doesn't have it, for example from Exact Forms Plus, XL Docs, or PDF Stamper. | You |
| **JuicedSign Recipient Tags** | The tags for each template: what each recipient signs or fills in, and where. | You, or the Tags Configurator |

- **Don't delete or rename the JuicedSign fields.** JuicedSign finds its fields by name. The JuicedSign Management and Recipients tables show this reminder in an **Important Message** field.
- If you used **Prefix for Labels** in the wizard, the fields on your table start with that prefix.
- Dates and times are in your app's time zone.

## Fields on your table

| Field | What it's for | Can you change it? |
| --- | --- | --- |
| **Send to JuicedSign** | Creates and sends the agreement. If there's no document yet, it shows *Upload File to Send via JuicedSign*. See [Send an agreement](/quickbase-extensions/docs/agreement-creation). | No |
| **Preview Agreement** | Shows each recipient's tags on the document without sending anything. | No |
| **Refresh** | Reloads the record until the signed document appears. | No |
| File to sign, signed file | The fields you chose or created in the wizard. For Amazon S3 or Dropbox, these hold the file name or key instead of the file. | No |
| Signer name and email fields | The fields you chose or created for each signer in the wizard. | Yes, fill them in on each record |
| **Recipient String** | The recipients of the agreement, built from the signer fields. See [Send an agreement](/quickbase-extensions/docs/agreement-creation). | Yes, to add or change recipients |
| **Agreement Subject** | The email subject. Default: *Request for Signature*. | Yes |
| **Agreement Email Message** | The note in the signing email. | Yes |
| **Reminder Delay**, **Reminder Frequency**, **Expire After**, **Expire Warning** (in days) | Reminder and expiration days for this table. The wizard fills in the values you entered. | Yes |
| **Signed Doc Name** | The file name of the signed document. Default: *JuicedSign Signed Agreement*. | Yes |
| **Agreement Certificate** | Where the certificate of completion is saved. | No |
| **Document Type** | A label for reporting, for example Quote or Invoice. Default: your table's name. | Yes |
| **JuicedSign Sender Email** | Who sends the agreement. It must be one of your senders. See [Account settings and senders](/quickbase-extensions/docs/management-portal#users). | Yes |
| **Agreement Doc Fids**, **Signed Document Info** | Where JuicedSign gets the document and where it saves the signed copy. | No |
| **JuicedSign Batch Arguments**, **JuicedSign Batch Email** | Used to create agreements automatically. See [Create agreements automatically (batch)](/quickbase-extensions/docs/batch-processing). | No |
| **JuicedSign Error Details** | Error details when a batch agreement can't be created. | No |
| **# of JuicedSign Agreements**, **# of JuicedSign Agreements Completed** | How many agreements this record has, and how many are completed. | No |
| **JuicedSign Status** | The status of this record's latest agreement. | No |
| **JuicedSign Recipients** | A link to this record's recipients. | No |

"No" means the wizard fills in values for your account, app, tables, and fields. Leave them as they are.

## JuicedSign Management

JuicedSign adds one record per agreement when you select **Send to JuicedSign**, and keeps it up to date. Don't edit these records.

| Field | What it shows |
| --- | --- |
| **JuicedSign agreement ID** | The agreement's ID. It appears in every email and on the certificate. |
| **Status**, **Status updated datetime** | Created, Delivered, Completed, Declined, Voided, or Expired, and when it last changed. See [Agreement statuses](/quickbase-extensions/docs/overview-1#agreement-statuses). |
| **Agreement Name**, **Subject**, **Document Type** | From your record when the agreement was sent. |
| **Agreement created datetime** | When the agreement was created. |
| **JuicedSign Sending Email Address** | The address the emails come from. |
| **Reminder delay**, **Reminder frequency**, **Expire after**, **Expire warning** (in days) | The values used for this agreement. |
| **Expiration Date** | The created date plus **Expire after**. |
| **Void Agreement** | A button to void the agreement. It shows until the agreement is Completed, Declined, or Voided. See [Manage agreements](/quickbase-extensions/docs/manage-agreements). |
| **Reason to Void Agreement** | The reason the sender gave, or *Opted To Print And Sign Offline* when a recipient chose Print & Sign. |
| **Signed document Name** | The file name used for the signed document. |
| **QB User Email** | The Quickbase user who sent the agreement. |
| **Created with console application** | Checked when the agreement was created automatically (batch). |
| **JuicedSign Error Details** | Error details if JuicedSign couldn't save the signed document to Amazon S3, Dropbox, or another table. |
| **JuicedSign Recipients** | A link to the agreement's recipients. |

## JuicedSign Recipients

One record per recipient, added when the agreement is created. Don't edit these records, except with the buttons.

| Field | What it shows |
| --- | --- |
| **Recipient ID**, **Order** | The recipient's number and their place in the signing order. |
| **Recipient Name**, **Recipient Email Address** | Who the recipient is. |
| **Action** | **Signer** or **Receive a Copy**. |
| **Status**, **Status Updated Datetime** | See [Recipient statuses](/quickbase-extensions/docs/3-juicedsign-tables-explained#recipient-statuses). |
| **Delivered Date**, **Opened Date**, **Signed Date** | When the recipient was emailed, opened the agreement, and finished. |
| **Decline to Sign Reason** | The reason, if the recipient declined. |
| **Access Code** | The access code, if the recipient needs one. See [Access codes](/quickbase-extensions/docs/access-codes). |
| **Captive Recipient** | Checked for an in-person signer. |
| **Resend Email** | A button to send the signing email again. It shows while the agreement is Delivered. **Resend Email Sent Date** and **Resend Email Status** show the result. |
| **Captive Recipient Signing** | A button to reopen signing for an in-person signer. It shows while the agreement is Delivered. |
| **Reset Security Code Counter** | A button to let a recipient try their access code again. See [Access codes](/quickbase-extensions/docs/access-codes). |
| **JuicedSign Agreement ID**, **Agreement Name**, **Agreement Status**, **Agreement Subject** | From the agreement. |

### Recipient statuses

| Status | Meaning |
| --- | --- |
| **Delivered** | The signing email was sent to the recipient. |
| **Opened** | The recipient opened the agreement and agreed to use electronic signatures. |
| **Completed** | The recipient finished signing or approving. Receive a Copy recipients are Completed when their copy is sent. |
| **Declined** | The recipient declined to sign. The agreement is Declined too. |
| **Printed to Sign** | The recipient chose Print & Sign. The agreement is Voided. |

## Document Templates

| Field | What it's for |
| --- | --- |
| **JuicedSign PDF Template** | Upload a PDF of the document you'll send, as close to the final version as possible. The Tags Configurator uses it. |
| **Launch Tags Configurator** | Opens the Tags Configurator for this template. See [Tags Configurator](/quickbase-extensions/docs/new-recipient-tags-configurator). |
| **# of JuicedSign Recipient Tags**, **# of Recipients** | How many tags and recipients the template has. |
| **Tags Configurator Recipient String**, **Combined Text Recipient ID** | Used by the Tags Configurator. Don't change them. |

## JuicedSign Recipient Tags

One record per tag, related to a document template. Each tag belongs to a recipient by its **Recipient ID**. For every field, see [Document tags](/quickbase-extensions/docs/document-tags).
