Cloud Only / No Details Mode

Prev Next

If desired, the Document Portal can be used without storing any "detail" records in Quickbase. We refer to this as "No Details" mode. You will still need to have a button on some table to launch the Document Portal, but that is the only setup needed. This can be used in cases where you truly only need to store files associated to a given record, and absolutely nothing else.

Additionally, this mode eliminates using Quickbase as a way to store files, like file attachment fields—since there is nowhere for us to store the attachment. As such, you must use a third-party cloud: Amazon S3, Dropbox, or Egnyte.

You also have fewer features inside the Document Portal itself—namely, you can't do any of the following:

  • Define a Column List of fields to show

  • Replace Files

  • Edit Records

  • Open related Quickbase Records

In No Details mode, the portal reflects this: the button bar has only Refresh, Delete, Upload, and Download—there is no Grid Edit button—and the grid shows only the two baseline columns, File Name and File Size (KB). The context menu also omits Replace Selected, Edit Record, and Open Record.

Set up No Details mode

In the installation wizard's Document Portal Setup step, choose Amazon S3, Dropbox, or Egnyte in Select a Cloud, then choose Store on Cloud Only. The wizard adds the Document Portal and Document Portal - Mobile buttons and a Document Portal Directory field to your table, and no details table.

The button formula the wizard creates looks similar to the following. In No Details mode, details is set to false (n also works) and there are no details… parameters:

var Text url = "https://..."  // your Document Portal server URL, created by the installation wizard
& "request="
& Base64Encode(
"clientid=Q1234"
& "&appid=" & AppID()
& "&dbid=" & Dbid()
& "&cloud=s3"
& "&msid=" & [Record ID#]
& "&clouddirectoryfid=11"
& "&clouddirectory=" & [Document Portal Directory]
& "&cloudbasedirectory="
& "&details=false"
);

"<a class='Vibrant Success OpenAsPopup POSTTempToken' style=\"\" data-height=600 data-width=800 data-refresh=true data-tempTokenDBID='" & Dbid() & "' href=\"" & $url & "\" >Document Portal</a>"

Here, cloud is s3 for Amazon S3, db for Dropbox, or eg for Egnyte. For what each parameter does, see Document Portal formula URL parameters.
