Features and functionality

The Document Portal is a tool that has a diverse array of features that can be used to give a flexible, functional file management experience.

We dive deeper into these features in the following articles. Here's an overview of these features:

User interface

The user interface has been tailored for use as a file management tool for both desktop and mobile. We believe it will be intuitive for any user to use, so training time is low. Both views show the same file grid—a table of the record's files with columns such as File Name, any additional fields you've configured, and File Size (KB). On a desktop, the action buttons run down the left side of the window; on a phone, they move to a bar across the top of the screen.

For more information about the UI, and all the features/functions of the UI, see User interface.

Download multiple files

We support downloading multiple files at once. Select multiple files in the Document Portal, then select Download.

For more information, see Download multiple files.

Mobile compatibility

The Document Portal is fully compatible with mobile devices (at least those that can browse the internet).

For more information, see Mobile compatibility.

Details Mode

The Document Portal can store various details about the files you upload as Quickbase records, such as the file name, file size, and file type.

Additionally, you can define several Quickbase fields to display and edit in the Document Portal, allowing you to manage more than just the file itself.

For more information on Details Mode, and its own set of features, see Details Mode (dependent/child table).

Cloud Only / No Details Mode

The Document Portal can store files on Amazon S3, Dropbox, or Egnyte without storing any other data in Quickbase—all you need is a button on the table you would like to store files from. In the installation wizard, choose Store on Cloud Only.

For more information on No Details Mode, see Cloud Only / No Details Mode.

Archive Mode

Archive mode sets the Document Portal to archive files instead of deleting them. This means that your end users cannot remove files from your cloud storage, but relocates them so they no longer appear in the Document Portal.

For more information, see Archive Mode.
