EZ File Importer

"Set it and forget it"—no longer worry about how your data fields will "line up" when using Quickbase Import.

EZ File Importer helps you import data from any Excel-based spreadsheet (.xlsx, .xls, or .xlsm) or .csv file into one or more tables in Quickbase. No longer do you need to worry about how the fields are "lined up" as with the standard Quickbase import process.

All you do is:

  1. Define an import configuration for each table you need to import into. These can be saved and used again.

  2. Add a file to a record in the File Imports table, and the import occurs automatically according to your configuration settings.

How it works

  1. You set up EZ File Importer once per app with the installation wizard. It adds five related tables to your app: Configuration Groups, File Imports, Import Configurations, Field Mappings, and Import Run Details.

  2. You create a configuration group and, in it, an import configuration for each spreadsheet tab and target table. Each import configuration has field mappings that say which spreadsheet column goes to which Quickbase field.

  3. You add a file to a record in the File Imports table. An email notification on that table starts the import.

  4. EZ File Importer reads the file, imports the rows according to your configurations, and adds a record to Import Run Details for each sheet it processed. The record shows the status, the number of records processed, and the start and end times.

Some of the highlights include:

  • Configure field mappings from your Excel spreadsheet columns to fields in each Quickbase table you want to import into.

  • You import by saving your file into a file attachment field. Our import process either inserts or updates records (based on the key) in the target table. A Log table allows you to monitor details of the import—right inside your Quickbase application.

With EZ File Importer, you can:

  • Define, configure, and manage your import configurations (field mappings) in a table in your Quickbase application.

  • Import into one or more tables from a single Excel file, including multiple sheets

  • Import data from one or more sheets in your Excel file

  • Define specific sections within your Excel file to import from

  • Import data from the same sheet into multiple tables

  • Automate the import process so that when a file is uploaded into a file attachment field it executes right away

  • Use Quickbase permissions to determine who can perform the import
