PDF Stamper Batch Processor
Follow these steps to create the email notification needed for executing the PDF Stamper Batch Processor.
Note
The email notification you create varies based on the option you selected during setup. Each section notes any variations for that option.
Single Document—use the table you selected during setup for these steps
Bulk Documents—use the Batch Processing table that was created during setup for these steps
Open the notifications menu
In the left navigation of your app, find the table you selected for the Single Document option, or the Batch Processing table for the Bulk Documents option. Select the ... icon (three dots) next to the table name.
In the menu that opens, select Notifications, subscriptions & reminders. The menu lists Structure, Fields, Table-to-table relationships, Advanced settings, Reports & charts, Forms, Notifications, subscriptions & reminders, Document templates, Access, and All table settings.
Create a new email notification
Select the New Email button at the top right of the page.
Select the notification type
In the Create a New Email popup, select the Notification option (Send automated notifications based on specific criteria) and select Create. The other options are Build your own, Subscription, and Reminder.
Configure notification permissions and recipients
Select the permission type Open: Emails sent openly to anyone. The other option is Recipient: Emails sent to users with access.
Enter a meaningful name for the notification in Notification name, for example, PDF Stamper Batch.
In the Notify whom list, select A specific list of email addresses…. A Type in a list of email addresses box appears.
Enter the following email address, pdfstamper@pdfstamper.quickbasetools.com, in the email addresses box. If your account is hosted in the EU, enter pdfstampereu@pdfstamper.quickbasetools.com instead. You can also include other email addresses if you want others notified when the process is requested.
When you initially set this up, we recommend copying your own email address as well. This way, you can confirm the email fires when expected. You can remove yourself later.
Set the trigger event
In the Notification when list, select the first option (when the record is modified). The name depends on what you call a single record in that table, for example, a Lead is modified or a PDF Stamper Batch Processing is modified. The list also offers is added, is deleted, and combinations of modified, added, and deleted—don't use those.
Set the trigger criteria
Select Additional criteria (to the right of the Notification when list), then select the Any of the following field changes option. This is the second radio button, below Any field changes. A list of field checkboxes appears.
Single Document: Select the criteria you want to use to trigger the document creation. The trigger field wasn't created during this setup option.
Bulk Documents:
Select the Trigger Field checkbox. The other checkboxes in the Batch Processing table are Name, Processing, Refresh, Merged File, Merged Date, Batch Processing Arguments, and Record Owner—leave them cleared.
In the all of these conditions are true list, select all, then set the condition to Trigger Field—contains—the value—Requested.
Set the message type and subject
In the Email Contents section, select the Message Type Custom message
On the Single record version tab, enter a meaningful name in the Subject field, for example, PDF Stamper Batch Request
We also recommend adding your company name to the Subject to help with troubleshooting, though it's not required, for example, PDF Stamper Batch Request - Your Company Name.
Add the Batch Processing Arguments field
In the Custom message box, add the Batch Processing Arguments field. Open the Choose fields & markers list at the right of the message box and double-click Batch Processing Arguments under Fields. The message box then contains
[Batch Processing Arguments].Make sure the type=pdfstamper parameter is present in the Batch Processing Arguments field.
Select the Preview button in the upper right of the email notification screen to see what is sent to the PDF Stamper Batch Processor. Check that type=pdfstamper is included in the arguments field.
If it isn't, add it as a parameter in the Batch Processing Arguments field.
Copy the text enclosed in parentheses, including the ampersand (&), and paste it into the Batch Processing Arguments field: (& "type=pdfstamper")
Use Grid Edit for multiple documents (advanced Single Document option)
If you want to use Grid Edit to create multiple documents from a report on the table you selected for the Single Document option, make this additional change to the email notification.
This sends the Batch Processing Arguments to the PDF Stamper Batch Processor for every record modified during the Grid Edit session, so a single document is created for each modified record. If you don't plan on using this feature, you don't need to set up the Multiple Record Version in the email notification—just set up the Single Record Version.
In the Email Contents section, select the Multiple record version tab (next to Single record version).
Enter a Subject, for example, PDF Stamper Batch Request - Multi.
In the Custom Message box, enter
%RepeatOn%on the first line, add the Batch Processing Arguments field on the second line, and enter%RepeatOff%on the third line. The message looks like this:%RepeatOn% [Batch Processing Arguments] %RepeatOff%
Save the email notification
Select Save in the upper right corner to save the email notification. Save is the first of three buttons, followed by Preview and Cancel.
Note
You might receive an error while saving the email notification. If so, submit a technical support case to allow your account to send emails to non-registered Quickbase users.
