Limit Application Access to Approved Users

This topic refers to functionality that is only available to accounts on the Business-level or above plans. If you do not see the functionality described here, either your account or realm has not been configured to show it, or your account is not on one of those plans.

You can easily control application access in a realm. Say your realm contains an application that stores sensitive data. Of course, you can protect this information using Quickbase roles, but if your application lives within a Quickbase realm, then you have an additional high-level permissions feature available. Within a realm, you assign each user an approval status. You can specify that only users with the highest approval status (Approved) should ever access a particular Quickbase app. This is a handy way to specify that only users in your company should ever see information in that app (this is especially easy if you authenticate with LDAP, as LDAP updates your list of approved users automatically).

Note: Only the app manager (not the realm administrator, nor the account administrator) has direct control over this access setting.

To limit application access to approved users:
  1. From the app home page, click Settings.

  2. Click App properties, then click Advanced Settings to expand the section.

  1. Under Realm security options, select the Only "approved" users may access this application checkbox in the Realm Approval section.

    Note: If you don't see this item, your app doesn't belong to an account that is in a realm.

  2. Click Save to save your changes.

    Only users with Approved status are able to access the application. The sole exception to this is the app's manager, who can access the app if they have Guest or Approved status in the realm.
