By default, AI is on for every app. Access to AI features is managed on the AI controls page in the Admin Console. Realm or account admins can turn off AI for a specific app. When AI is off for an app, Quickbase AI, Data Analyzer, AI App Intelligence, and AI Optimization for scheduling reports can't use that app's data and structure, or answer questions about it.
This is useful if you need to keep certain apps off-limits for compliance reasons, or if you want to control which apps can use AI features.
Turn AI on or off for an app
Select Admin Console from the global navigation menu.
Select Apps in the sidebar.
In the table of apps, find the app you want to change. In that row, turn the AI toggle off, or back on to allow AI again.
The toggle is available to realm admins and account admins. Turning AI off can take up to 15 minutes to fully apply. During that window, someone might still be able to use AI on the app. If you're turning off AI for compliance reasons, allow a few minutes before you consider the app fully covered.
What happens when AI is off
When AI is off for an app, users who try to use AI for that app see this message:
Quickbase AI isn't available for [App Name]. You can still use it for other apps.
The experience varies by feature:

What happens to chat history
Chat messages created before you turned off AI are not affected—they stay in place. Turning off AI only applies to new requests going forward.

Audit logs capture when AI was turned on or off for each app in the audit log.
