Courier for Quickbase

We need you to do the following so we can set up your Quickbase app with Courier

  1. If you'd like the Quickbase Extensions team to do this setup, submit a technical support case so we can arrange temporary admin access to install Courier for you. This access can be removed once setup is complete.

  2. You must send us a Quickbase user token authorized to the Quickbase app or apps you would like to send emails from. (Create User Token Link)

  3. If you're an existing client of ours, you can enter the Extensions Portal and start a trial right away. Courier is a DIY-friendly extension, and you can use these resources to be successful.

Questions to answer before your first Courier configuration

  1. Which Quickbase table will you be sending emails from?

  2. How do you want emails to be sent? Pick one of these three options.

    1. Triggered: Emails are sent when you select a set button in your app, or when a field or fields change in your app.

    2. On Demand: This works by selecting Execute Now from your Courier configuration inside the Extensions Portal, or by using our QB Courier app. Emails are then sent based on a pre-defined report in your app that you identified inside your configuration.

    3. Scheduled: Emails are sent daily, weekly, or on selected weekdays, also based on a pre-defined report in your app.

  3. What is the email address field (email address that you want to send emails to)?

  4. Are there any email address fields you want emails sent to as CC or BCC?

  5. Are there any file attachments that you want to send with emails? If so, what is the file attachment field ID or IDs?

  6. What do you want the subject line to say?

  7. What do you want the message body to say?

  8. What should the "reply to" email address be? (It can come from the record or can be hardcoded for a specific email address)

  9. What email address should the email come from? (This can be static or can come from the Quickbase record itself)

  10. Will you be doing Grid Edit to send out emails?

  11. Do you want to create an audit log of emails inside your app?

  12. The following are three options for how emails are sent. Let us know which option you prefer (the recommended option is the first).

The first option: Send the emails via your own mail server.
This is clients' preferred option as emails really come from you. In your configuration, you have the option of selecting Sending Email Address – Use Your Own Mailserver. When this option is selected, a new section called Mail Server Info displays. You will need to provide your server name, username, password, and mail port. You will also need to ensure that your email account is set up to allow Quickbase Extensions to send emails from your mail server. Typically, this does require your email admins to "Allow 3rd parties to send emails." This setting varies per mail server.

Mail Server Info. You will need to provide us with the following information for us to connect and send from your mail server.

Server name, username, password, and mail port. The encryption method is always checked.

Note

O365 and Gmail mail servers no longer require a password—they require an app password or refresh token.

The second option: This is a semi-branded email address designed specifically for your company. This still comes from @quickbaseemail.com as its domain, but it has a custom prefix.

EX: AcmeSales@quickbaseemail.com

This option gives you additional features such as email tracking and various KPIs from your email statistics (like bounce rate).

The third option: This sends the emails out from our standard email address named qbcouier@quickbasetools.com. The emails don't come from your email address—they come from qbcouier@quickbasetools.com as the "from" address, but you can specify one or more "reply to" email addresses. If the recipient selects reply in their email software, the email addresses you specify as the "reply to" default into the "to" line. These "reply to" email addresses can be preconfigured as part of the Courier configuration record.

Note

The emails are sent out from the IP address "34.239.38.245." You may have to ask your clients to whitelist this IP address or remove filters to accept emails from this server. This isn't required, but we can run a quick test to make sure emails flow through properly.
