Features and functionality
Your Quickbase app
Your Quickbase app defines what fields and reports your Courier configurations will have access to. Before creating a configuration, make sure to choose the app that has all the information you will need in your email. You cannot cross over apps.
Email run options
Triggered – A Triggered “Event” or “Change” that occurs in a Quickbase record causes the email to run. Only a single record will be processed when the event occurs. The event can be an add, update, or delete. Any of these actions in the specified field would cause an email to be sent out.
Triggered Sample Use Case: Checking a checkbox field on a record that is OK for the invoice to be sent.
Note
Ensure your conditions don't cause an infinite loop of emails being sent out. You aren't refunded for those transactions.
On-Demand – Emails are sent when you select Execute Now in the Extensions Portal. The records that are processed are determined based upon the report you selected in the individual configuration that you customized. The reports are created and filtered using the options available to you in Quickbase.
On-Demand Sample Use Case: An email blast to a report of your clients who are active subscribers to a newsletter.
Scheduled – Emails are sent based upon a predetermined schedule of your choosing; daily, weekly, monthly. This can be done with a report or query of records.
This sends updates to your clients automatically.Scheduled Sample Use Case: An email blast automatically at 8am to all clients with an invoice past due.
Enhanced email functionality using Courier
Email notifications
You can send emails with files attached without complicated pipelines or higher-tier plans.
File attachment fields and Amazon S3 files are sent using your configuration.
Generic files can also be attached and included with each configuration.
The ability to change the "from" address of the email message to a value on the actual Quickbase record being processed or to a common email address that you defined in the record.
The ability to execute emails when you want, how you want them.
Reminders
The ability to send reminder emails to non-Quickbase users.
Include your “cc” and “bcc” email address fields for all emails sent.
Use fields directly from your Quickbase records to customize the message subject and body.
Include file attachments within your reminder messages.
Ability to send from your own mail server or a semi-branded mail server
The ability to have the email messages sent out from an email address in your email domain dedicated to this process. Provide us with the email account credentials and we'll send out the email directly from that email account.
As of 2025, Office 365 and Gmail require additional security tokens for connection. Submit a technical support case for more details.

Courier for Quickbase can also send encrypted emails to help secure your data transmissions.
