Description Details

Client Company

Your Company Name

Client E-mail

Contact email address for your company. Error details are sent there.

Client User(s)

The Quickbase user IDs used to manage your QB Courier configurations.

Account URL

Your account's unique Quickbase URL—SampleCompany.quickbase.com.

Processing Details

Status

Test Mode—Selected by default, running your configuration in Test mode allows you to preview how your email is viewed by your clients before sending. This should be changed to Enabled once you have concluded your testing and you are satisfied with the format of your QB Courier configuration.

Enabled—Your configuration is running as Live and is executed and triggered by a Quickbase action (see Processing Mode).

Disabled—The configuration is no longer executed or triggered.

Run Status

Red, yellow, and green depiction of the Status field's value.

Processing Mode

Scheduled—Runs based on a selected Processing Frequency and processes at the selected time. Only the records that meet the filtered criteria in your report are sent.

On Demand—Runs the configuration once you select Execute On Demand.

Trigger—Emails are sent based solely on the Quickbase app event taking place—a record is added, modified, or deleted, for example, when a checkbox is checked.

Processing Frequency

For Scheduled only:

Daily—Runs every day at a selected time, for example, 6 a.m. daily.

Weekly—Runs on a chosen day of the week.

Monthly—Runs on a chosen day of the month.

Configuration Info

Config Name

The name you choose for your configuration—ideally something meaningful so you can find it later.

App DBID

The Application ID assigned by Quickbase.

App Token

An Application Token is only required if enabled in Quickbase.

Table DBID

The Database ID of your Quickbase table that you are connecting to your Courier configuration.

Link to Table

This takes you back to your Quickbase table and helps ensure you selected the correct table to run the configuration with.

Log Activity

A feature you must enable to log the activities of your configuration. Enabling it creates a table with processing details.

Data Selected

Report Query ID

For Scheduled and On Demand configurations, you must create a report in your Quickbase app. This report is used to filter the specific records you want to include in your email.

The Record ID# field must be displayed in this report for it to work properly.

All Quickbase fields set to appear in your Courier message must be included in your report, or you'll receive an error.

The Query ID# is found at the end of your URL, for example, qid=47.

This takes you back to your Quickbase report and helps ensure you selected the correct report to run the configuration with.

Email Message

Sending Address

The email address the email message comes from. The default email address is qbcourier@quickbasetools.com.

ReplyTo Email

You can enter a specific email address or use a field ID to populate the sender's email.

From Field ID

The actual email address field in the table you are processing. If you want the email to appear as sent from a specific address in a Quickbase field, identify that field here. If the email address isn't found in the FID provided, the email is sent by qbcourier@quickbasetools.com.

From Specific Email

You can fill the ReplyTo email address field with a specific email address you want your clients to reply to. If no address is provided, the email is sent by qbcourier@quickbasetools.com. This field was sunset in 2024 and may no longer apply.

Email Field

The FID that contains the email addresses you want to send your Courier configuration to. They appear in the To field of the email.

Update Field

If you want to update a Date/Time field in your Quickbase app, identify the FID of that field here.

Copy Email Field

The Quickbase field that holds the email addresses that appear in the CC field. You can type directly into the field: [Email 1];[Email 2]

Copy Email Field from Related Table

If you have a subtable (child table) for your CC email addresses that is related to the master table, you must provide the related table DBID, colon (:), field ID of the relationship to the master table, colon (:), field ID of the CC email address—for example, bg334x62r:6:13.

BCC Email Field

Enter actual email addresses in the BCC field, for example, example@company.com. You can separate multiple contacts with a ";".

Copy Email

Enter actual email addresses in the CC field, for example, example@company.com. You can separate multiple contacts with a ";".

Subject

Your Courier email subject line. This subject line can be dynamic by including Quickbase fields—for example, Your [Order #] was delivered to [Address].

Message

The message field includes your Courier configuration's email message. You can use the Extensions Portal to configure your Courier emails. The Extensions Portal has a more familiar feel when creating your email message and can be customized to include dynamic reports, images, and subtable reports.

Message Clist

For Triggered emails only. Provide the Quickbase field IDs of the fields you want to show dynamically in your Courier email message. These FIDs must be separated by a period, for example, 10.15.20.25. This is similar to your Exact Forms Plus or XL Docs Clist.

Files to Attach

You can choose to include files from a File Attachment field or from your Amazon S3 account.

Client Mail Server

If you have provided us your company's own mail server, identify that here.

Add your own Mail Server Options

To start using your own mail server, submit a technical support case with the correct information. We need the mail server name, mail username and password, mail port, and confirmation that encryption is enabled.

File Attachments

You may have up to 5 static email attachments, such as an image or a blank W-9 form.

Attachments from other tables

You can reference a File Attachment field ID and populate that into your Courier configuration. Make sure to upload the correct table ID.
