Grid Edit mode
To engage Grid Edit mode, click the Grid Edit button on the button bar—the lines-with-a-pencil icon below Download (tooltip Toggle Grid Edit).
A blue Grid Edit Enabled! notification appears, and the file management buttons are replaced with two buttons at the top of the button bar: Confirm Edit (checkmark icon, tooltip Confirm Edit) and Cancel Edit (circle-with-a-slash icon, tooltip Cancel Edit).
Select any editable cell and change the value. Each cell uses an input that matches its field type—for example, a multiple-choice field like Type opens a drop-down of its choices (Location Photo, Receipt, Document), and a date field opens a date picker.
Any changes you make are highlighted yellow until you save. When you are done, press the Confirm Edit button (checkmark), or press Ctrl+S (Command+S on a Mac). To discard pending changes, press the Cancel Edit button next to it, or press Esc. A gray Changes Canceled message confirms that nothing was saved.
After you save, a green Edit Success. message appears, the changes populate into the grid immediately, and the regular file management buttons return. If you confirm without changing any cells, you see No changes were made. instead.
Fill Up and Fill Down
To copy one value into many rows, use Fill Up or Fill Down:
In Grid Edit mode, right-click the cell whose value you want to copy (on a touchscreen, press and hold it for about 1 second). A menu opens with Fill Up and Fill Down.
Choose Fill Down to copy the value into the same column of every row below it, or Fill Up to copy it into every row above it. If the grid is grouped, the fill stops at the edge of the group.
The filled cells are highlighted yellow like any other change. Click Confirm Edit to save them, or Cancel Edit to discard them.
Fill Up and Fill Down do nothing in a column that can't be edited.
Note
We update this information by requesting data back for the affected rows, but not the whole grid. If you have formulas displayed in other rows that should change according to the edited rows, then you should refresh the page manually.
If a save fails, you see a red Error editing record. message. Click it to see why. See Document Portal messages and troubleshooting.
