QB Signatures
Electronically sign records and store the captured signature image in Quickbase
QB Signatures is a Quickbase Extension that captures a handwritten signature on a Quickbase record. The signer draws their signature with a mouse, finger, or stylus, and the signature is saved as an image in a file attachment field on that record—along with the date and time it was signed and any details you ask the signer to enter.
Use it for sign-offs that happen on a record: approving a contract, invoice, or quote, confirming a delivery or inspection in the field, or acknowledging terms and conditions. Because the signature is an ordinary image in a file attachment field, you can then place it on documents created with Exact Forms Plus, XL Docs, or PDF Stamper—see Use signatures in documents.
Important
QB Signatures is a signature-capture tool, not a legally binding electronic signature solution. It saves an image of the signature and the time it was saved, but it doesn't verify the signer's identity, keep a tamper-evident audit trail, or produce a signing certificate. Don't rely on it where a legally binding electronic signature is required. For signing agreements, consider JuicedSign or Docusign for Quickbase, and check with your legal team about your requirements.
Key benefits
Capture signatures as image files—each signature is saved as a GIF image with a transparent background in a file attachment field on the record.
Record when it was signed—a date/time field is stamped with the moment the signature was saved.
Gather name, title, and other details from signers—ask the signer to type up to two values (for example, their name and title), and show or let them update other fields from the record. These values are saved back to Quickbase with the signature.
Require signers to review the terms and conditions—show a link to a terms document and require the signer to check a box before they can save.
Mobile functionality—sign on a phone or tablet in the field, then return to the record automatically.
How it works
A user opens a record and selects the Sign Off button (or Sign Off (Mobile) on a phone or tablet).
The QB Signature window opens with the heading Please sign below and save, a signature pad, and any fields you've asked the signer to complete.
The signer signs, fills in any required details, and selects Save.
The signature image, the sign-off date and time, and the signer's entries are saved to the record, and the window shows Your signature has been saved successfully to Quickbase.
For a full description of the signing window, see QB Signatures features and functionality.
Before you start
QB Signatures in the Extensions Portal—you install QB Signatures by running its installation wizard from the Extensions Portal.
A Quickbase user token for a user who can create fields in the table and edit its records. The wizard asks for it in the Authorization step, and QB Signatures uses it to save every signature.
The table to sign on—for example, Orders, Deliveries, or Inspections. The wizard adds the signature fields and buttons to it.
Because signatures are saved with that user token, signers don't need permission to edit the record, and the record's Last Modified By shows the token's user, not the signer. Signers do need to be able to open the record. To record who signed, ask for the signer's name in a signer field, or save the Quickbase user with qbuserfid and signeradmin (see QB Signatures formula URL parameters).
Capture your first signature
Run the installation wizard and choose your table in QB Signatures Setup. See QB Signatures in the installation wizard.
Add the new fields to the table's form, if they aren't there already: Sign Off, Sign Off (Mobile), View Signature, and Sign-off Date.
Open a saved record and select Sign Off. The QB Signature window opens as a pop-up.
Draw a signature in the pad, complete any fields marked with a red *, and select Save.
The window shows Your signature has been saved successfully to Quickbase. Select Close. The record refreshes: View Signature shows the signature, and Sign-off Date shows when it was saved.
If the window shows a message instead, look it up in QB Signatures messages and troubleshooting.
