Prepare your app to use grid reports

Note

This article does not apply to Quickbase accounts created after April 15, 2026. For these accounts, grid reports are the only table report type available and are already turned on by default.

Existing apps using legacy table reports do not automatically update to grid reports. For these apps, you’ll need to manually turn on grid reports when you’re ready.

Before turning on grid reports, it’s best to prepare your app by reviewing and adjusting some key settings. This helps ensure a smooth transition from legacy table reports to grid reports.

Set your grid report preferences

For best results, review and adjust the following report settings and permissions before turning on grid reports for your existing app:

Default column widths and row height

Unlike legacy reports, grid reports do not autosize column widths and row height. This is to give you more control and consistency, while improving the reliability and performance of grid reports. As a result, you must set your desired widths and heights.

Setting default column widths and row heights allows you to give the optimal view to your end users when they first open a report. End users can override these default settings, however, to adjust the layout according to their preferences. To get started:

  • Set a default column width in pixels for each field in the Field properties menu under Behavior. The default width applies to that field on any standalone or embedded report where it’s included.

  • Set a default row for each table in Default reporting settings under Options. The default row height applies to all grid reports in a table. Set all rows within each report as either short (1 line), medium (3 lines), tall (5 lines), extra tall (10 lines), or max (20 lines).

  • You can also set the initial row height for each report individually, overriding the default report setting. This is done in the report settings for a specific report.

Inline editing permissions

In-line editing makes it easy for permitted users to modify data directly on the report.  

Grid reports respect any role permissions and restrictions you currently have in place. However, you may want to adjust your edit permissions depending on your process. To get started:

  • Choose to allow or disallow inline editing for all grid reports in each table in Default report settings under Options > Editing behavior.
    Note: This default setting overrides user role permissions. If a user has permission to edit records, but the default report setting does not allow inline editing, that user will not be able to edit directly on the report.

  • You can override the default inline edit permission for a specific report in its Report settings under Options > Editing behavior.

Report grouping defaults

With grid reports, you can organize rows of data into collapsible groups. Create row groups where appropriate and choose whether they should display as collapsed or expanded when first opened.

By default, groups in grid reports are expanded when first opened. You can change this setting in the default report settings under Options.

To override the default report settings, open the specific report’s settings and go to Sorting & Grouping > Group display.

Field visibility

Grid reports contain a Columns panel where users can select from a list of all fields in the table that their role has permission to view. There may be some fields, however, that you don’t want to show in this list because they are irrelevant or for admin use only.

To exclude certain fields from being visible to users in the Columns panel, go to Field properties > Advanced > Reportable and unselect The field may be used in reports.

Turn on grid reports

To turn grid reports on for all users in your app:

  1. Open your app and select App settings > App properties.

  2. Go to Advanced settings > Table report version > Use grid reports in this app and choose Yes.

  3. Indicate whether you would like to show users a toggle at the top of grid reports to go back to a legacy table report.

  4. Save these settings.
