Access Codes

What an access code is

  • An access code is an extra check for a recipient. Before the recipient can open the agreement, they must enter the code.

  • Access codes are optional, and set per recipient. Recipients without a code open the agreement straight from the email.

  • The code is case-sensitive.

Set an access code

The access code is the sixth part of the recipient's entry in the Recipient String field. See Send an agreement.

Recipient ID:Recipient Name:Recipient Email:Signing Order:Action:Access Code:Captive Recipient
  • Leave the part empty for no code, for example 1:Jane Doe:jane@example.com:1:Signer::false.

  • Use any text without a colon (:) or a pipe (|), because these separate the parts and the recipients.

  • Usually the code comes from a field on your record. For example, a formula text field Manager Code with Left([Manager Name], 3) & Right([Manager Email], 4) gives Joh.com for John Doe, johnd@example.com. Then the manager's entry is:

"|2:" & [Manager Name] & ":" & [Manager Email] & ":2:Signer:" & [Manager Code] & ":false"
  • Pick a code the recipient can't easily guess, and one that isn't printed in the document.

  • After the agreement is sent, the code is saved in the Access Code field of that recipient's JuicedSign Recipients record. See JuicedSign tables and fields.

How the recipient gets the code

  • When it's the recipient's turn, JuicedSign sends two emails: the signing email, and a separate email with the code.

  • The code email has the subject Your JuicedSign Document Access Code for the Agreement - <agreement ID>. It shows the code, and asks the recipient not to share it.

  • If you resend the agreement, the code email is sent again. Reminder emails don't include the code.

  • You can also give the code to the recipient yourself, for example by phone.

  • The access code isn't the Access Token at the bottom of the signing email. The token is another way to open the agreement. See The signing experience.

What the recipient sees

  1. The recipient selects Click to review in the signing email.

  2. Instead of the document, the page shows Enter your access code. The recipient enters the code and selects Enter.

  3. If the code is right, the agreement opens. See The signing experience.

  4. If the code is wrong, the page shows Note! The code that you entered is invalid… and Number of attempts remaining: N. The recipient can try again.

  • The recipient has 5 tries in total. After the fifth wrong code, the page shows Maximum number of tries exceeded, and the recipient can't open the agreement until you reset the counter.

  • The tries count across visits. Closing the page and opening the link again doesn't give more tries.

Reset the counter

After the fifth wrong code, JuicedSign emails the sender. The subject is Reset JuicedSign Security Access Code for : <recipient name>.

  1. Open the reset window in one of two ways:

    • In the sender email, select Click to reset counter.

    • On the recipient's JuicedSign Recipients record, select Reset Security Code Counter. The wizard adds this button.

  2. The Reset recipient access code window opens. Optionally, enter why you're resetting the counter in Enter reason here.

  3. Select SUBMIT. The window confirms that the counter is reset to zero.

  4. Tell the recipient to open the original signing email and select Click to review again.

  • The code doesn't change. Only the number of tries goes back to zero, so the recipient has 5 new tries.

  • JuicedSign doesn't email the recipient after a reset. You have to tell them.

  • JuicedSign records the reset in the agreement history, with your IP address and browser details.

  • Select CLOSE to leave without resetting.

  • The 5 access code tries are separate from the limit on how many times a recipient can open the email link.

  • When a recipient goes over the link limit, the old link stops working and JuicedSign emails them a new link. See When a signing link stops working.
