Dynamically stamp data from Quickbase into PDF files

PDF Stamper is a Quickbase Extension that takes a PDF template stored in your Quickbase app and fills it with data from a Quickbase record. The finished PDF is saved back to a file attachment field on that record, so the document lives next to the data it came from. You run PDF Stamper from a button on the record to create one document, or with PDF Stamper Batch Processor to create many documents (and one merged PDF) with a single click.

PDF Stamper offers capabilities including:

  • Take industry-specific, pre-formatted PDF files and stamp variable data from Quickbase into predetermined positions throughout the PDF, for example, W-4, I-9, and AIA forms

  • Personalize company brochures that are already designed in PDF format for your clients and business partners

  • Manage your PDF templates right in your Quickbase app

  • Stamp images stored in file attachment fields into PDF files

  • Stamp barcodes generated from fields in Quickbase into PDF files

  • Stamp multi-page PDF files

  • Use the PDF Stamper Batch Processor for multi-record processing—stamp multiple PDF files in a single button click

How PDF Stamper works

  1. Store a template. You add your PDF to the Document Templates table in your Quickbase app, along with the table the data comes from (the master table).

  2. Decide where each piece of data goes. If the PDF has fillable form fields, you put a field reference such as ~6~ in each blue form field, where 6 is a Quickbase field ID. If the PDF isn't fillable, you add rows to the Document Subtables table that stamp text, images, or barcodes at an exact page, X position, and Y position. You can combine both methods in one template.

  3. Run it. A formula URL button on the master record sends the request to PDF Stamper for that record. For many records at once, an email notification sends the request to the PDF Stamper Batch Processor instead.

  4. Get the result. PDF Stamper creates the PDF and attaches it to the file attachment field you named in the button. It can also update a stamped date field, add a watermark, store the file in Amazon S3, or save the file to a separate repository table.
