Overview of QB Courier
QB Courier is designed to enhance the way you send email notifications and reminders—both to users and non-users of your Quickbase apps. It supports the creation of individual custom “configurations” that define the specific conditions under which emails or reminders should be sent. With scheduled, on-demand, and triggered components, QB Courier offers flexible options to control exactly when your messages are delivered. You can also connect Courier to your own mail server, so messages are sent from your own email domain.
Courier also doubles as an email campaign management system by allowing users to send out emails based off reports created in your Quickbase app. These reports are filtered to match the criteria you desire from your Quickbase app and can be sent using a specific email configuration that meets the needs of that report.
Email recipients. You can configure multiple To, CC, BCC, and Reply to email addresses from your Quickbase application. See Email recipients and update email sent datetime.
Attachments. Courier can attach files to the emails it sends. You can add up to five generic files to a configuration—such as a price list or a blank form—that go with every email. Courier can also attach files from Quickbase file attachment fields or from your Amazon S3 bucket, taken from the record being emailed, its related child records, or matching records in another table. Courier finds these files separately for each record, so every recipient gets the files for their own record. See Include attachments with Courier.
Embedded reports. Courier can show records from a Quickbase table as a table inside the email message. The table can be a child table—for example, the line items of an invoice—or any other table, such as the open support tickets for the same customer. A query in the table's settings picks the records; when it uses values from the record being emailed, every recipient sees only the records that match their own record. You add an embedded report by typing a subtable string in the message on the configuration's Email Message tab, and you can choose the columns, sorting, grouping, subtotals, and colors. Activities. Every time a configuration runs, Courier records an activity that shows how many emails were sent, how many records were bypassed, and the details of any errors, so you can check each run from the configurator. You can also have Courier keep a local activity log in your own Quickbase app: one record for each email, with the recipients, subject, message, send time, the record it was about, any attachments, and the error if sending failed.
